Automate
Your customers' orders, entered into your system on their own
Your customers send their orders by email, as a PDF, an Excel file or a scanned order form, and your sales admin team retypes them one by one into your ERP. We build the tool that reads those orders, matches them to your item codes and prepares them in your system. Your team only checks the uncertain ones, and gets time back for your customers.
What you get
- A tool that reads the orders you receive by email, whatever their format (message text, PDF, Excel, scan), and extracts the customer, item codes, quantities, prices and delivery date
- Matching against your own items and customer records, even when a customer uses its own codes
- The order prepared in your ERP or business software, through its API or a file import
- A review screen: your team approves the certain orders in one click and corrects the ones the tool flags as uncertain
- The order acknowledgment sent to the customer as soon as the order is recorded, and answers drafted for customers asking where their order is
- Tracking once in production: share of orders read correctly, corrections made by the team, running cost
- The source code in a repository that is yours from the first commit
Who this is for
- A B2B wholesaler or distributor receiving orders every day by email, as PDF or Excel
- A sales admin team spending its days retyping instead of looking after customers
- A company about to hire to absorb order entry, that wants to see first what can be automated
- A business whose ERP cannot read the order formats its customers send
How it works
A paid discovery, on a sample of your real orders and with your agreement: we measure what the tool reads on its own, what needs a human check, and how to connect it to your system. You know what you gain before any build starts. Then fixed-scope sprints, each ending in a demo on your own orders. You decide to continue, change direction or stop after any sprint. See the detailed sprint timeline.
Questions
Will it work with my ERP? Discovery checks that before any build: through your software's API if it has one, through a file import otherwise. You keep your ERP; the tool plugs into it.
What if the tool gets it wrong? Nothing enters your system unchecked until you decide otherwise. The tool flags the orders it is unsure of, and your team approves or corrects them. You then choose which orders can go through without a check.
What about customers asking where their order is? The tool drafts the answer from what your ERP already knows: order received, picked, shipped, expected delivery date. Your team reads it and sends it, or lets it go out on its own for simple cases. The order acknowledgment goes out as soon as the order is recorded.
Do my orders stay confidential? The AI model and where it runs are chosen during discovery, to match your confidentiality needs: a major model provider's API, or a lighter model running on your own infrastructure.
What about e-invoicing? Since 1 September 2026, every company in France must be able to receive its invoices electronically. The same tool can process your supplier invoices, and we can connect your tools to the certified platform you chose. Choosing the platform and compliance stay with your accountant.
What should I prepare for the first call? Six answers, even rough ones: how many orders you receive a day, how many lines they have on average, how they arrive (email, PDF, Excel, fax, portal), which ERP you use and which version, how many people do order entry, and what an entry error costs you (credit note, redelivery, dispute).
What does it cost? Discovery has a fixed price, known before we start. Then every sprint has its own fixed price, set before it begins. Never hourly billing.
